Aptcruit LLC (“Aptcruit”, “we”, “us”) is a remote staffing company registered in Wyoming, United States, at 1021 E Lincolnway #9471, Cheyenne, WY 82001.
This policy explains what personal data we collect, why, how long we keep it, and what rights you have. We are the data controller for the data described here.
Questions or requests: contact@aptcruit.com
Who this applies to
- Clients and prospective clients. People who contact us about hiring, and people at companies we contact about our services.
- Candidates and contractors. People who apply to work through us, and people placed with our clients.
- Website visitors.
What we collect
If you contact us as a client, through our form or by email: your name, work email, company name, the role you are hiring for, and anything else you choose to tell us.
If you apply to work through us: your full name, email, field of work, years of experience, a link to your LinkedIn or portfolio, your weekly availability, and your CV if you upload one. During assessment and screening we also hold your assessment results, our notes, and a record of roles you were considered for.
If you are a business prospect we contacted first: your name, business email, job title, employer, and other business contact details. We obtain these from third-party business data providers, currently Apollo and Lusha, and from publicly available business sources. We did not receive them from you, and section 8 explains your rights over them.
If you become a client or contractor: the information needed to run the engagement and to meet our contractual and record-keeping obligations, including contract records and payment details.
Everyone visiting the site: technical data including IP address, browser and device type, pages visited, and referring source.
We do not ask for, and do not want, special category data. Please do not include health information, religious or political views, or similar details in a CV or a free-text field.
Why we use it, and our legal basis
| What we do | Legal basis |
|---|---|
| Respond to a client enquiry and provide our services | Performance of a contract, or steps taken at your request before entering one |
| Assess, screen and present candidates to clients | Steps taken at your request before entering a contract |
| Keep candidate details on file for future roles | Your consent, given when you apply |
| Contact business prospects about our services | Our legitimate interest in offering relevant services to businesses |
| Send transactional and service emails | Performance of a contract |
| Keep the site secure and prevent spam | Our legitimate interest in protecting the service |
| Meet tax, accounting and legal obligations | Legal obligation |
Where we rely on legitimate interests, you can object at any time and we will stop unless we have compelling grounds not to.
How long we keep it
- Candidates we do not take forward: deleted.
- Candidates kept on file for future roles: 12 months from your application or our last contact with you, whichever is later. This includes any CV you uploaded. We will delete your record sooner if you ask.
- Client enquiries that do not become engagements: 12 months.
- Clients and contractors under contract: for the engagement, and afterwards for as long as we are required to retain records for tax, accounting and legal purposes.
- Business prospect data: removed when a prospect asks, when the contact details stop being accurate, or when we stop pursuing the opportunity.
We run periodic deletion cycles rather than keeping data indefinitely.
Where your data is
Our database and uploaded files are stored in the European Union, in Frankfurt, Germany.
Some of our service providers are based in the United States, so data may be transferred there. Where that happens we rely on appropriate safeguards, including the European Commission’s Standard Contractual Clauses, and we keep transfers to what is necessary.
Your rights
You can ask us to:
- Give you a copy of the personal data we hold about you.
- Correct it if it is wrong.
- Delete it. For candidate records we will do this on request.
- Restrict or object to how we use it, including our prospecting emails.
- Port it to another provider, where applicable.
- Withdraw consent where we relied on it, without affecting anything done beforehand.
Email contact@aptcruit.com. We will respond within 30 days. We may ask you to confirm your identity first.
If we contacted you about our services and you want us to stop, use the unsubscribe link in the email or reply asking us to stop. We will remove you and keep a minimal record of the request so we do not contact you again.
If you are in the EU, EEA or UK, you also have the right to complain to your local data protection authority. We would rather you came to us first.
Security
Data is stored in access-controlled systems and transmitted over encrypted connections. Access is limited to people who need it to do their work, and every contractor and staff member is under a written confidentiality obligation.
No system is perfectly secure. If a breach affects your data and creates a risk to you, we will notify you and the relevant authority as required.
Automated decisions
We use structured online assessments as part of candidate screening, and these are AI-assisted so that every candidate is evaluated against the same standard.
A person reviews every assessment. No application is rejected automatically on a score alone, and the decision on whether to take a candidate forward is made by a human.
Children
Our services are for adults. We do not knowingly collect data from anyone under 18.
Changes
We update this policy when our tools or processes change. The date at the top shows the last revision. Material changes affecting people already in our systems will be notified by email.
